Overview
Ensure compliance of vendor invoices with WFP procedures and contractual terms, and oversee timely registration, validation, and processing of invoices.
Tasks Summary
- Ensure compliance of all vendor invoices with WFP’s internal procedures and contractual terms, rejecting and correcting non-compliant submissions.
- Oversee timely registration, validation, and processing of invoices in WFP’s Invoice Tracking System (ITS), escalating challenges promptly when required.
- Monitor transport losses, calculate values in line with contract provisions, and secure vendor agreement before finalizing invoice processing.
- Provide regular reporting on invoice processing and payment status, ensuring transparency and accountability across the vendor portfolio.
- Maintain effective communication with vendors to facilitate timely submission, correction, and follow-up of invoices and supporting documentation.
- Track service deliveries against purchase orders, support the Funds Management Unit in monitoring and closing open orders, and ensure alignment with operational needs.
- Collaborate closely with WFP units and the Finance Unit to ensure smooth funds flow and timely vendor payments.
- Contribute to audits and compliance processes by maintaining accurate records and documentation in line with WFP standards.
- Promote efficiency, accountability, and professional collaboration within the logistics and funds management chain.
- Perform other duties as required
Experience Requirements
- At least 5 years of experience in logistics and Funds management and supply chain operations.
- Experience working with humanitarian organizations, UN agencies, or international NGOs is highly desirable.
- Experience in Port and Corridor Operations
- Experience in commercial Logistics sector
- Experience working with corporate systems (databases, software)
- Experience working in a demanding operational environment
Qualification Requirements
- Completion of secondary school education.
- Advanced University degree in Supply Chain, Logistics, Funds Management, Economics, Business Management, or first university degree with additional years of related work experience and/or training/courses
