Overview

The Human Resources Assistant will support recruitment and placement activities, administer entitlements, assist with staff development, and provide general HR office support.

Tasks Summary
  • Participates in candidate selection, including screening applications, preparing profiles, conducting preliminary interviews, and roster searches.
  • Assists in filling posts by initiating reference checks, academic verifications, and preparing offers of appointment.
  • Organizes and coordinates competitive recruitment examinations.
  • Oversees maintenance of vacancy announcement files and tracks their status.
  • Reviews and processes personnel actions through Umoja.
  • Advises staff on visa matters.
  • Reviews and processes requests for entitlements and claims.
  • Maintains Umoja entitlements reference tables.
  • Assists in the organization and conducts of training courses and workshops.
  • Provides logistics and administrative support to trainers.
  • Assists in reviewing and processing requests for classification.
  • Provides advice and answers general queries on classification procedures.
  • Conducts exit interviews for separating staff and assists with final arrangements.
  • Maintains HR related automated systems and applications, including databases and prepares periodic reports.
  • Undertakes research on HR related issues and assists in preparing notes/reports.
  • Provides general office support, processes correspondence, performs budget monitoring, sets up and maintains files, and schedules appointments.
  • Prepares written responses to HR related queries.
  • Trains and provides supervision to new and lower-level staff.
  • Assists with data collection, analysis, and preparation of presentations and reports.
  • Assists with visualizations and updating information material.
Experience Requirements
  • A minimum of seven (7) years of experience in human resources management, administrative services or related area, is required. The minimum years of relevant experience is reduced to 5 for candidates who possess a first-level university degree or higher.
  • A minimum of three (3) years of experience within the United Nations common system or another international organization is desirable.
  • Experience working with an Enterprise Resource Planning (ERP) system, such as Umoja or Inspira is desirable.
  • One (1) year or more of experience in data analytics or related area is desirable.
Qualification Requirements

High school diploma or equivalent.
