Overview

The Administrative/Finance Associate provides support to project implementation, performing administrative and financial processes to ensure high quality and accuracy of work.

Tasks Summary
  • Management of administrative, financial and logistical project arrangements, ensuring compliance with UN/UNDP rules.
  • Support in preparing annual and quarterly work plans and budgets.
  • Collection and review of financial reports from project responsible parties and grantees.
  • Compilation of donor financial reports and monitoring of cost sharing funds.
  • Administrative support to procurement and contracting processes.
  • Facilitation of procurement of consultancy services, goods, and equipment.
  • Preparation of documents for vendors and assistance in managing project management and payments.
  • Contribution to preparation of project recruitment and procurement plans.
  • Coordination and creation of travel plans and requests.
  • Verification of accuracy of travel entitlements and monitoring of timely settlements.
  • Support for the organization of national and international conferences, workshops, retreats, missions, and meetings.
  • Drafting routine correspondence, memoranda, reports, and meeting minutes.
  • Maintenance of contact list of strategic partners.
  • Maintenance of project files.
  • Collection and updating of information on assets and non-assets management.
  • Identification of office ICT and stationery needs.
  • Facilitation of onboarding of newcomers.
  • Monitoring of budget expenditures and maintenance of a proper record of approved project budgets.
  • Preparation of proposals for budget revisions.
  • Preparation and submission of expenditure and programme budget status reports.
  • Ensuring full compliance with UNDP HR policies and procedures.
  • Organizing recruitment processes for short-term NPSAs, UNVs, interns, fellows.
  • Preparation of documents for Regular PSA recruitment processes.
  • Ensuring proper and timely contract management.
  • Maintenance of the project staffing table and administration of project local rosters.
  • Maintenance of HR records.
  • Backstopping other team members and performing other duties as required.
  • Assisting in the preparation of reports by synthesizing lessons learned and good practices.
  • Participation in training and organizing briefings on internal procedures.
  • Providing support to other capacity building activities.
  • Providing support in the dissemination and sharing of relevant data and lessons learned.
Experience Requirements
  • Minimum 7 years (with secondary education) and 4 years (with Bachelor’s degree) of relevant professional experience in administration, finance and/or HR/Procurement, programme support service with international and/or donor organizations.
  • Experience with the main processes and methods of work associated with the position.
  • Experience in the use of computers, office software packages (MS Word, Excel, etc.), data packages, and web-based management systems such as ERP.
Qualification Requirements
  • Secondary education is required.
  • University degree (Bachelor’s degree) in Finance, Business or Public Administration, Accounting or similar will be given due consideration but is not a requirement.
  • Certificate in accounting, budgeting or finances will be an asset.
