Overview
Provides substantive and analytical support to the Executive Secretary and manages the Office of the Executive Secretary, including human and non-human resources.
Key Responsibilities
- Provides specialized advice on management and implementation of policies and procedures.
- Serves as focal point and liaison on specific topics or policy-related issues.
- Prepares or contributes to the preparation of various written reports, documents and communications.
- Supports the Executive Secretary in interactions with high-level external partners.
- Organizes and participates in work groups, meetings, conferences, consultations.
- Oversees logistical and administrative preparations of major meetings.
- Develops new approaches, strategies and policies for information flow.
- Manages, supervises, coordinates and facilitates the work of the Secretariat Support Unit.
- Manages daily the Executive Secretary’s office, including correspondence, schedule and travel.
- Plans and oversees the management of activities undertaken by the Executive Secretary’s office.
- Monitors directives of the Executive Secretary with regard to human resources.
- Carries out administrative tasks necessary for the functioning of the Office.
- Responds to relevant substantive correspondence.
- Ensures timely follow-up to the Executive Secretary’s directives.
- Administers the workload of the Office and maximizes resource utilization.
- Liaises with other divisions of the Secretariat.
- Manages, guides, develops and trains staff in the Secretariat Support Unit.
- Fosters teamwork and ensures effective communication.
- Monitors staff requirements and distributes workload.
- Organizes, manages and plans the schedules of the Executive Secretary.
- Conducts research on new technologies for online and monitoring tools.
- Assists the Executive Secretary in liaising with Parties and organizing Bureau meetings.
- Collects and analyzes data to identify trends or patterns and provide insights.
Required Experience
- A minimum of seven (7) years of progressively responsible experience in administration, management executive support or coordination functions within an international organization or multilateral environmental agreement secretariat is required.
- Experience in providing substantive and strategic advisory support to senior-level officials, including preparation of policy briefs, analytical reports and high-level correspondence on sensitive and politically complex matters, is required.
- Experience in coordinating or supporting intergovernmental processes, including preparation and servicing of bureau meetings, governing body sessions or similar high-level multilateral meetings, is required.
- Experience in liaising with government representatives, UN entities and external stakeholders in support of senior management functions is required.
- Experience in managing workflow systems, monitoring tools and coordination across multiple divisions to ensure timely implementation of executive directives is required.
- Experience in overseeing human resources processes within the United Nations or a similar international organization, including recruitment coordination, performance management and application of administrative rules and procedures, is desirable.
- Experience working in front office operations supporting senior management is desirable.
- A minimum of two (2) years or more of experience in data analytics or related areas is desirable.
Qualifications
- An advanced university degree in environmental, social or political sciences, business administration, public administration, environmental management, information systems or equivalent is required.
- A first level university degree in combination with two additional years of qualifying experience may be accepted in lieu of the advanced degree.
- Successful completion of both degree and non-degree programs in data analytics, business analytics or data science programs is desirable.
