Overview

The Procurement Assistant will support the Procurement and Partnerships Unit by liaising with client units, preparing procurement documents, and managing contracts.


Key Responsibilities
  • Liaise with client units to define procurement objectives, select procurement modalities and prepare procurement documents.
  • Draft the requirements in the form of specifications, SOWs, or TORs, as well as evaluation criteria.
  • Support the monitoring of UNEP procurement portfolio and the preparation/delivery of training/knowledge sharing initiatives.
  • Support the creation of related documents in UMOJA, the UN ERP system.
  • Preparing the demand plan, ensuring that proposed expenditures are in accordance with the mandate of the relevant entity, and ensuring that sufficient time is available to undertake a procurement exercise.
  • Lead contract management and administration duties, including vendor performance evaluation, where appropriate, in coordination with the end-user, if applicable.
Required Experience
  • Three (3) years of experience in procurement, including provision of procurement, logistical and administrative support for the acquisition of a wide variety of goods and services.
  • Development of an annual procurement work plan, prioritization of purchasing requests.
  • Preparation of RFQs, ITBs, or RFPs documents, receipt of quotations, bids, or proposals.
  • Management of Purchase Orders and contracts awarded to suppliers to ensure timely and quality delivery of goods and services.
  • Maintenance of up-to-date and complete records, documentation, and filing of all procurement processes.
Qualifications
  • Bachelor's degree in Procurement, Business Administration or any other related field.
  • Certification in Procurement (CIPS 4 or equivalent)

Remuneration
A UN Volunteer receives a Volunteer Living Allowance (VLA) per month and is paid at the end of each month to cover housing, utilities, transportation, communications, and other basic needs. The VLA can be computed by applying the Post-Adjustment Multiplier (PAM) to the VLA base rate of US$1,602. UNV provides life, health, and permanent disability insurances as well as assignment travel, annual leave, and full integration in the UN security framework (including residential security reimbursements). UN Volunteers are paid a Daily Subsistence Allowance at the UN rate for official travels, flight tickets for the final repatriation travel (if applicable). A resettlement allowance is paid for satisfactory service at the end of the assignment.
