Overview
The ETT Program Assistant /Transactions Specialist will provide financial, operational, and administrative support to the Haiti country office, ensuring operational efficiency and financial integrity.
Key Responsibilities
- Process accounting transactions in the institutional platform.
- File documents and invoices systematically.
- Interact with clients for timely payments and issue resolution.
- Prepare manual Local Bon de Commande.
- Liaise with payment processing units.
- Maintain and support internal controls.
- Run monitoring reports.
- Assist with documentation for audits.
- Create Purchase Orders and appointments.
- Assist vendors and consultants with registration and bank details.
- Record asset data in SAP.
- Assist in developing local guidelines and procedures.
- Advise staff on institutional rules and policies.
- Manage priorities and coordinate workflow.
- Screen incoming documents and draft responses.
- Coordinate and monitor work processes.
- Support logistical preparations for meetings.
- Provide logistical support for team meetings.
- Provide logistical support for travel, visas, and transfers.
- Follow up on purchase orders with providers.
- Maintain up-to-date distribution lists.
- Serve as a back-up to the Executive Assistant and other Assistants.
- Support project teams during their project cycle.
- Support the Financial Management team.
- Create new vendor contracts.
- Participate in drafting Aide-Memoire and Management letters.
- Draft minutes of meetings.
- Answer internal and external queries.
- Maintain contact lists.
- Coordinate with service units and liaise with team members.
- Track and report on operational activities.
- Exercise quality enhancement for project documents.
- Serve as an information resource on project status.
- Undertake ad hoc inquiries and present data.
- Track assigned task/project steps/timetables.
Required Experience
A minimum of 7 years of relevant experience, or an equivalent combination of education and experience. Prior experience in a development organization is an advantage.
Qualifications
A High school diploma.
