Overview

Provides senior coordination and administrative support to governance and management-related processes across the Directorate and its institutional interfaces. Supports the coordination and governance integration functions.


Key Responsibilities
  • Support to coherence and integration across governance and management frameworks.
  • Compile, consolidate and organize background materials related to strategic initiatives.
  • Support the preparation of Directorate-level inputs to IRPF reporting and Programme and Budget follow-up.
  • Maintain and update structured monitoring and tracking tools.
  • Coordinate the data gathering and maintenance of oversight findings and recommendations.
  • Compile analytical and procedural input for documentation prepared for the Managing Director.
  • Support preparation of materials for internal and external engagements.
  • Make recommendations for improvements to the design and delivery of work processes.
  • Arrange, prepare and participate in meetings.
  • Receive incoming requests and prepare the appropriate reply/actions.
  • Provide advice, solutions and answers to inquiries related to corporate services.
  • Draft routine and non-routine correspondence.
  • Prepare papers, statistics, reports and presentations.
  • Undertake computer-based searches and compile background information.
  • Maintain an up-to-date electronic filing system and databases.
  • Perform other related duties and assignments as required.
Required Experience

A minimum of seven (7) years of relevant work experience in providing senior administrative, coordination and management support services within a complex organizational environment is required. If in possession of a first-level university degree or higher, a minimum of five (5) years of relevant work experience is required. Relevant experience in supporting governance-related, management or corporate processes, such as compliance with established procedures, monitoring of actions and follow-up of decisions, is required. Experience in collecting, consolidating, organizing and summarizing information and data from multiple sources to support reporting, monitoring, briefing and follow-up processes is required. Experience in facilitating cross-divisional or cross-directorate coordination, by liaising with multiple stakeholders, tracking contributions, following up on deadlines and ensuring completeness and consistency of inputs is required. Experience within the UN system or an international/multicultural environment is desirable. Experience/proficiency in Microsoft Office applications (Outlook, Word, Excel and PowerPoint) and internet usage is required. Experience with SAP or similar ERP systems is desirable.

Qualifications

Completed higher secondary education, high school diploma or equivalent is required.
