Overview

The Human Resources Assistant supports recruitment and placement activities, assists in the administration of entitlements, and contributes to staff development and career support within the Development Coordination Office.


Key Responsibilities
  • Participates in candidate selection for secretarial, clerical, and related positions, including screening applications, preparing profiles, conducting preliminary interviews, and roster searches.
  • Assists in filling posts by initiating and following up on reference checks, academic verifications, and pre-recruitment formalities.
  • Calculates salaries and benefits, and prepares and dispatches offers of appointment and Statements of Emoluments.
  • Provides input into policy development for General Service and related categories.
  • Organizes and coordinates assessments and acts as ex-officio in competency-based interview panels.
  • Oversees the maintenance and tracking of job opening statuses.
  • Reviews job openings, temporary job openings, and submissions for candidate selection.
  • Advises staff on visa matters.
  • Reviews and processes data pertaining to conditions of service.
  • Reviews and processes requests for entitlements and exceptions to Staff Rules and Regulations.
  • Prepares personnel actions, processes contracts, and maintains staffing tables.
  • Monitors conditions of service and advises supervisor of developments.
  • Assists in the development of career development programmes.
  • Assists in the organization and conduct of training courses and workshops.
  • Supervises the maintenance of automated databases and HR filing systems.
  • Undertakes research on HR-related issues, prepares notes/reports, and advises on policy exceptions.
  • Supervises the compilation and preparation of statistical HR reports.
  • Provides general office support, including drafting, editing, and proofreading correspondence.
  • Sets up and maintains files, schedules appointments/meetings, and monitors deadlines.
  • Prepares written responses to HR-related queries.
  • Trains and supervises new and lower-level staff.
  • Performs other duties as required.
Required Experience

A minimum of 7 years of progressively responsible experience in human resources management, administrative services, or a related area is required. Experience using recruitment platforms such as Inspira or similar is desirable. Experience in HR Data Management using MS Excel or similar tracking programs is desirable.

Qualifications

High school diploma or equivalent is required.
