Overview
The Supply Chain Assistant will support the Supply Chain Officer in managing the Kirehe FO vehicles fleet and provide transportation for visitors and employees. The role also involves managing administrative stocks and ensuring timely supplier payments.
Key Responsibilities
- Assist in the management of Kirehe FO vehicles fleet and provide transportation.
- Prepare monthly vehicle reports on km covered, fuel consumed, maintenance cost, and vehicle problems.
- Receive initial accident reports and follow up with Police and Insurance Company.
- Follow up of vehicles and motorcycles clearing and insurance.
- Control, monitor, and report fuel use for vehicles, motorcycles, and generators.
- Provide technical assistance and advice to SCI - Kirehe FO drivers.
- Allocate available vehicles resources.
- Advise managers/users on the status of vehicles and project future implications.
- Contribute to the development and implementation of SCI vehicle/transport policy.
- Advise vehicle users on vehicle usage safety and policy.
- Pre-inspect all rental vehicles.
- Ensure all suppliers are paid on time.
- Keep a track of paper procurement files.
- Confirm all goods received are in line with purchase orders.
- Process invoice payments in a timely manner.
- Update invoice tracker.
- Notify the line manager of any procurement issues.
- Receive, store, and release all administrative stocks in Kirehe stocks.
- Support the appropriate storage and physical condition of stocks.
- Ensure all stock are accounted for and released with appropriate documentation.
- Document all stock movements using SCI documents.
- Serve as the contact person for releasing items from Kigali warehouse.
- Generate warehouse/stock reports from TIM and share with budget holders.
- Assist in documenting, investigating, and reporting stock discrepancies/damages.
- Assist in organizing and planning the transportation of project supplies.
- Assist in ensuring warehouses are kept secure, maintained, clean, well-organized, and pest-free.
- Support in managing incoming and outgoing stock.
- Consolidate and plan for transportation of project supplies.
- Comply with Save the Children policies and practice.
- Supervise drivers, check and monitor mileage logging for all vehicles.
Required Experience
- 1-2 years of prior work experience in a similar role in an NGO or private commercial sector.
- Experience of solving complex issues through analysis, definition of a clear way forward and ensuring buy in.
Qualifications
A Diploma or Bachelor’s Degree in Business Administration, Supply Chain, Logistics or Procurement.
