Overview
This position provides essential analytical support to the Missions Secretariat, coordinating analytical, administrative, and logistical workstreams to ensure smooth operation, coordination, and reporting of eight Missions.
Key Responsibilities
- Coordinate the planning and organization of meetings, workshops, and strategic events.
- Maintain structured and accessible electronic repositories and documentation systems.
- Contribute to the onboarding process of new personnel.
- Support the overall functioning of the Mission Secretariat by facilitating coordination across the 8 Missions.
- Contribute to the preparation and dissemination of internal and external communications.
- Manage and regularly update stakeholder contact lists, mailing registries, and membership lists.
- Facilitate information exchange between the Mission Secretariat, the TST, and the 8 Missions.
- Maintain and contribute into continuous improvements of online collaboration platforms and communication channels.
- Coordinate the collection and consolidation of data and information from the Missions.
- Contribute to the preparation of progress reports, presentations, briefing materials, and analytical summaries.
- Ensure consistency, quality, and accuracy in the formatting, editing, and documentation of reports and knowledge products.
- Conduct research and basic analysis on thematic areas relevant to the Missions.
- Prepare concise summaries, analytical briefs, and background materials.
- Contribute to the organization and maintenance of shared documentation repositories and databases.
- Support the development and dissemination of knowledge products.
- Facilitate knowledge-sharing sessions.
- Monitor and consolidate budget updates related to Technical Support team activities.
- Coordinate logistical and operational arrangements for Mission meetings, workshops, and events.
- Contribute to the preparation and maintenance of operational documentation and governance materials.
- Provide analytical, coordination, and operational support as required by the Supervisor.
Required Experience
- Relevant experience is work in project support and/or a combination of administrative support, and communication or reporting or related areas.
- Experience working with UNOPS in the past 3 years is required.
- Proven experience in organizing meetings, taking minutes, and managing administrative tasks is required.
- Experience with Google Workspace and Confluence is an asset.
Qualifications
• Bachelor’s degree (or equivalent) in business administration, international relations, social sciences, communication or related fields with 4 years of relevant experience OR Master’s degree (or equivalent) in any of the above or related fields with 2 years of relevant experience is required.
