Overview

Provides reliable and safe driving services, courier services, and general office and administrative support to the UNDP Dominica Project Office. Secondary support will be provided to all other UN Agencies sharing the common premises.


Key Responsibilities
  • Drives office vehicle for transport of authorized personnel and delivery/collection of documents, packages, and other items.
  • Meets official personnel and visitors at the airport, arranging visa and customs formalities when required.
  • Assists with preparing shipments and customs clearance documents.
  • Supports procurement processes by obtaining quotations and following up with suppliers.
  • Assists with travel, transportation, and hotel arrangements.
  • Provides support for conferences, workshops, and other events.
  • Arranges and provides transportation for project staff, visiting UNDP personnel, and guests.
  • Monitors and purchases office stationery and other supplies with approval.
  • Assists with the supplier payment process for goods and services received.
  • Ensures proper day-to-day maintenance of the assigned vehicle.
  • Takes immediate actions required by rules and regulations in case of involvement in accidents.
  • Maintains logs such as vehicle logs, office inventory and equipment, files, and records.
  • Provides support to the maintenance of common premises and common services.
  • Ensures availability of required documents/supplies including vehicle insurance, vehicle logs, office directory, map, first aid kit, and necessary spare parts.
  • Assists with the setup and dismantling of the conference room for meetings.
  • Assists with the preparation of project presentation materials, research, or background information.
Required Experience
  • Minimum 3 years' work experience in administrative support services.
  • Experience in the usage of computers and office software applications (MS Word, Excel, PowerPoint, Outlook etc.).
  • Experience providing logistical support in the areas of procurement, customs, travel and/or conference facilitation.
  • Experience in providing administrative support such as filing, record keeping, data entry and/or data/record management.
  • Experience driving throughout Dominica with knowledge of rules & regulations, demonstrated safe driving record and skills in minor vehicle repair.
  • Experience in the United Nations, international organization or NGO is an asset.
Qualifications

Secondary school completion required including successful completion of Mathematics and English.
