Overview

The Human Resources Assistant will support recruitment and placement activities, assist with classification requests, and maintain HR systems and databases. The role involves preparing reports, responding to queries, and providing training to staff and client offices.


Key Responsibilities
  • Participates in the recruitment of candidates for staff and non-staff positions, including evaluating applications, preparing candidate profiles, and conducting roster searches.
  • Assists in filling posts by initiating and following up on reference checks and academic verifications.
  • Organizes and coordinates competitive recruitment examinations.
  • Oversees the maintenance of vacancy announcement files and tracks their status.
  • Reviews and processes personnel actions in the ERP system.
  • Advises staff and hiring managers on recruitment matters.
  • Assists in reviewing and processing requests for classification.
  • Provides advice and answers queries on classification procedures.
  • Conducts exit interviews for separating staff and assists with final arrangements.
  • Maintains HR related automated systems and applications, including databases for HR statistics.
  • Contributes to the preparation of reports based on organizational needs.
  • Undertakes research on HR related issues and assists in preparing notes/reports.
  • Contributes to the creation and maintenance of databases and data collection projects.
  • Contributes to the identification and analysis of patterns in data sets.
  • Prepares written responses to queries concerning HR related matters.
  • Responds to queries/requests and maintains/updates web pages.
  • Trains and provides supervision to new and lower-level staff.
  • Trains and provides support to client offices in recruitment.
  • Performs other duties as required.
Required Experience
  • Seven (7) years of progressively responsible experience in human resources management, administrative services or related area is required. The minimum years of relevant experience is reduced to five (5) for candidates who possess a first-level university degree or higher.
  • Experience in recruitment processes is required.
  • Experience in creating reports, information management, or related area is desirable.
  • Experience using ERP systems, such as PeopleSoft, SAP or other, to manage HR is desirable.
  • Experience providing training to client offices is desirable.
Qualifications

High school diploma or equivalent is required.
