Overview

The Programme Assistant position provides support to officers in the programmes unit, assisting with programme design and implementation, research, and data analysis. The role supports programmatic and operational areas, assisting with project activity management and contributing to the smooth functioning of technical and operational processes.


Key Responsibilities
  • Assist in the preparation of programme work plans, budgets, and proposals.
  • Perform data entry and updates in the UNFPA Enterprise Resource Planning (ERP) system, including Quantum and Quantum Plus.
  • Support the monitoring of programme activities and expenditures against approved work plans and budgets.
  • Collect, compile, and analyze programme data and information for reporting and decision-making.
  • Prepare draft reports, presentations, and other programme-related documents.
  • Facilitate communication and coordination with implementing partners, government counterparts, and other stakeholders.
  • Maintain accurate and up-to-date programme files, documentation, and partner records.
  • Provide logistical support to programme events.
  • Perform research assistance duties, including bibliographic and database searches.
  • Summarize information and draft contributions to CO reports, papers, technical notes, and publications.
  • Contribute to the uploading and maintenance of selected information to the UNFPA intranet and related platforms.
  • Assist in the archiving, filing, and maintenance of up-to-date electronic mailing lists on programme matters.
  • Process programme-related financial transactions, including requisitions, purchase orders, and payment requests.
  • Review incoming correspondence, collect and prepare necessary information for reply/action, and draft and finalize response.
  • Support procurement activities for the programmes team.
  • Stand in for other programme team members on selected functions as required.
  • Produce monthly reports on the financial status of programmes or projects.
  • Carry out any other duties as may be required by UNFPA leadership.
Required Experience
  • Five (5) years of relevant experience in social sector/programme development would be an asset.
  • Knowledge of results-based management, asset and financial management.
Qualifications
  • Completed Secondary Level Education required.
  • A first level university degree in finance, public health, population, economics, demography and /or other related social sciences fields is preferable.

Languages Required
• Fluency in English and Tetum is required.
Languages Preferred
• Working knowledge of Portuguese would be an advantage.
