Overview
Provide secretarial and logistic assistance to case teams and working groups, and support the Head of Unit by managing diaries, correspondence, and scheduling.
Key Responsibilities
- Maintain the diary, filter calls, and take messages.
- Respond to general inquiries and manage email exchange and Outlook calendar.
- Consolidate and distribute the unit’s work schedule.
- Ensure appointment, documentation, and follow-up of unit internal meetings.
- Prepare notes, minutes, routine correspondence, and presentations.
- Manage absence of unit members and personnel administration formalities.
- Provide general administrative and logistic support.
- Make travel arrangements, including mission orders, files, hotel and travel bookings, and expense claims.
- Monitor deadlines and workflow, including agendas for meetings and unit work programmes.
- Ensure distribution of inter-service consultation requests, parliamentary questions, Cabinet requests, briefing, and speeches requests.
- Ensure replies are introduced in time.
Required Experience
Appropriate professional experience of at least three years (if secondary education diploma is held).
Qualifications
- A level of post-secondary education attested by a diploma, OR
- A level of secondary education attested by a diploma giving access to post-secondary education.
