Overview
Performs secretarial and administrative services in support of climate change and health activities within the European Centre for Environment, Climate Change and Health.
Key Responsibilities
- Draft correspondence and documents
- Compose and finalize administrative correspondence
- Provide translation or synopsis of incoming mail
- Take notes at meetings and type reports
- Assist with administrative preparation and conduct of meetings and educational activities
- Make duty travel arrangements
- Prepare correspondence for recruitment of consultants and temporary advisers
- Arrange briefing appointments and provide secretarial support
- Process agreements for performance of work and other contractual arrangements
- Manage related correspondence, follow up on deadlines, and prepare payment instructions
- Initiate action to process or follow up on correspondence, documentation and forms
- Create background files and compile reference material
- Access and retrieve information from databases and update as required
- Respond to and act on e-mail and telephone enquiries
- Assess critical nature of technical enquiries and refer them
- Coordinate appointments and organize programmes for visitors
- Provide briefing and guidance on office practices and procedures
- Liaise with, assist or replace other secretaries/programme assistants
- Perform other related duties as required
Required Experience
- At least 5 years of experience in the secretarial/administrative field.
- Desirable: Experience in an international environment or institution. Relevant experience in WHO or the United Nations.
Qualifications
- Essential: Completion of secondary school or equivalent.
- Desirable: Relevant higher education from an accredited institution.
