Overview
These positions are for a Human Resources Assistant within the United Nations Office for the Coordination of Humanitarian Affairs (OCHA) in Kuwait. The role involves assisting with recruitment, placement, and administration of entitlements.
Key Responsibilities
- Assists in filling posts, including reference checks, medical clearance, travel, visa requests, salary calculation, and offer dispatch.
- Coordinates candidate release and reporting.
- Oversees vacancy announcement files and tracking.
- Reviews and processes personnel actions.
- Coordinates staff separations and processes related entitlements.
- Advises staff on visa matters.
- Reviews and processes requests for entitlements and claims.
- Maintains Umoja entitlements reference tables.
- Assists in organizing and conducting training courses and workshops.
- Provides information on training opportunities.
- Conducts exit interviews and assists with final arrangements.
- Maintains HR related automated systems and databases.
- Prepares periodic reports.
- Provides general office support services.
- Processes, drafts, edits, and finalizes correspondence.
- Performs budget preparation, input monitoring, and implementation in Umoja.
- Sets up and maintains files/records.
- Schedules appointments/meetings and monitors deadlines.
- Prepares written responses to HR queries.
- Trains and supervises new and lower-level staff.
Required Experience
- A minimum of seven (7) years of progressively responsible experience in human resources management, administrative services or related area is required.
- The minimum years of relevant experience is reduced to five (5) for candidates who possess a first-level university degree or higher.
- At least three (3) years of experience in human resources functions within the United Nations Common System or similar international organization is required.
- Experience in the application of Human Resources rules and regulations in the area of staff administration of entitlements and benefits in the UN Common system or a similar international organization is required.
- Experience in administering a broad range of personnel actions, entitlements and benefits using Enterprise Resource Planning (ERP) systems such as Umoja is required.
- Prior experience with using online platforms / ERP systems for onboarding staff such as Inspira or Umoja (or similar) is required.
- At least one (1) year of experience in data analytics or related area is desirable.
Qualifications
High school diploma or equivalent is required.
