Overview

The Human Resources Assistant will support the Human Resources Management Section in recruitment and placement, classification, and general HR administrative duties. The role involves evaluating applications, preparing candidate profiles, and advising on interviews.


Key Responsibilities
  • Participates in candidate selection, evaluating and screening applications, preparing profiles, and advising on interviews.
  • Conducts roster searches and identifies shortlists of candidates.
  • Reviews and creates job openings in Inspira.
  • Assists in filling posts and completing pre-recruitment formalities.
  • Organizes and coordinates candidate assessments and prepares analysis of results.
  • Oversees the maintenance of job opening files and tracks their status.
  • Reviews recruitment requests and creates Offer Management Requests through Inspira.
  • Liaises with Divisions and HR service providers concerning contract administration, entitlements, and staff separation/reappointment.
  • Advises staff on visa and HR-related matters.
  • Reviews requests for exceptions to Staff Rules and Regulations concerning contractual matters and staff entitlements.
  • Assists in reviewing and processing classification requests.
  • Provides advice and answers queries on classification procedures.
  • Conducts research on precedents, policy rulings, and procedures.
  • Maintains HR-related automated systems and applications, including databases and statistical reports.
  • Undertakes research on HR-related issues and assists in preparing notes/reports.
  • Provides general office support, processes, drafts, edits, and proofreads correspondence.
  • Sets up and maintains HR files and records.
  • Prepares written responses to queries concerning HR matters.
  • Trains and supervises new and junior staff.
  • Takes up additional functions during the absence of the Human Resources Officer.
  • Performs other duties as required.
Required Experience
  • A minimum of seven years of progressively responsible experience in human resources management, administrative services, or a related area is required.
  • The minimum years of progressively responsible experience is reduced to five (5) for candidates who possess a first-level university degree or higher.
  • Out of these, 4 years in a Human Resources office in the United Nations or a similar international organization is required.
  • Experience in the management of large HR data, its analysis and reporting is required.
  • Experience in the recruitment of staff for field deployment is desirable.
  • Experience using ERP applications such as Umoja is desirable.
  • Experience as HR practitioner with online recruitment platforms such as Inspira is desirable.
  • Experience administering online assessments is desirable.
Qualifications

• High school diploma or equivalent is required.
