Overview

Provide specialized support and coordinate the delivery of client-focused and value-for-money services pertaining to the Management Services portfolio, specifically focusing on building systems.


Key Responsibilities
  • Coordinate administrative and technical support within the Management Services portfolio.
  • Monitor resource needs and assist in identifying new requirements.
  • Collate and analyse data and prepare reports.
  • Monitor and process actions related to procurement and finance.
  • Review and recommend improvements to procedures.
  • Provide resolutions to complex queries.
  • Utilise digital tools and technology applications.
  • Participate in the preparation of inter-agency initiatives.
  • Liaise with other functions and third-party contractors.
  • Provide advice and support to junior staff.
  • Provide training and guidance to staff.
  • Contribute to timely and effective operation, monitoring and maintenance of all building systems.
  • Coordinate and follow up with contractors for maintenance and facility emergencies.
  • Monitor compliance with fire safety, building regulations and health standards.
  • Participate in facility improvement projects.
Required Experience
  • At least six years of relevant work experience in operation and maintenance of large-scale buildings.
  • Experience in electrical and mechanical systems operation and maintenance.
  • Experience in Services Contracts Management.
  • Experience working with Autocad software (i.e.: reading, updating and annotating technical drawings).
  • Experience working with teams across different functional areas.
Qualifications
  • Completion of High School Diploma (Scientific or Surveying Track).
  • A post-secondary certificate in the related functional area.
  • University Degree in Engineering sector (mechanical, electrical, industrial, energy, etc.) or Architecture would be an asset.

Languages Required
Fluency (level C) in Italian and English language is required.
Languages Preferred
Proficiency in facilities management software (e.g. Archibus) is desirable. Demonstrated sound understanding of WFP Management Services regulations, policies, procedures, processes, standards, and systems. Experience in coordinating the work of others and providing guidance and training.
