Overview

The Administrative Officer provides logistical and administrative support to the DIANA Estonian Regional Hub, ensuring efficient functioning of IT, facilities, safety, security, resilience, and human resources.


Key Responsibilities
  • Lead day-to-day management of the Regional Hub.
  • Coordinate office space, furniture, supplies, and internal communications.
  • Facilitate efficient information management processes with other DIANA Offices.
  • Upkeep of Regional Hub webpage.
  • Liaise with local authorities for compliant processes.
  • Manage supplier and service provider performance.
  • Oversee office-related budgets, including forecasting and procurement.
  • Support planning and delivery of regional events.
  • Oversee local SSR requirements and security standards.
  • Undertake risk reviews and develop mitigating measures.
  • Plan and execute personnel matters, including induction and onboarding.
  • Provide guidance to the Administrative Assistant.
  • Create and promote a sound and inclusive workplace culture.
Required Experience
  • A minimum of 2 years post-related experience with a Bachelor's degree, OR at least 6 years extensive and progressive expertise in duties related to the function of the post without a degree.
  • A minimum of 2 years’ administrative management experience, including personnel management processes and initiatives.
  • Experience in office / facility management.
  • Experience organizing and managing a diverse workload in a fast-paced environment.
Qualifications

A Bachelor’s degree at a nationally recognised/certified University in a related discipline.

Other Details
Languages Required
Possess the following minimum levels of NATO’s official languages (English/French): V (“Advanced”) in one; and I (“Beginner”) in the other.
Languages Preferred
Working knowledge of the Estonian language.
Contract Duration
Three years, which may be followed by an extension. If seconded, a 3-year definite duration contract will be offered, which may be renewed for a further period of up to 3 years. Maximum period of service as a seconded staff member is six years.
Work Modality
working in office, at home,and across NATO Allied Nations subject to managerial approval
Remuneration
5,041.88 Euro (EUR) Monthly
