Overview
Provides administrative support for the Fiscal Affairs Unit of the Economic Development Division, assisting with office management, coordination of activities, and information flow.
Key Responsibilities
- Performs office management and administrative support functions.
- Maintains liaison with other units regarding administrative matters.
- Monitors processes and schedules related to unit outputs.
- Ensures smooth information flow within the unit.
- Prepares and processes confidential information.
- Assists in the development of office administrative systems and procedures.
- Provides assistance in the coordination of service-wide activities, special projects and events.
- Orients new staff to administrative procedures.
- Attends meetings, prepares minutes, and monitors follow-up activities.
- Responds to correspondence and drafts responses.
- Produces complex documents and reports using word processing software.
- Carries out quality control for outgoing documents.
- Responds to complex information requests.
- Assists in the preparation of presentation materials.
- Maintains calendars and schedules.
- Performs administrative duties such as leave recording, meeting organization, and order processing.
- Prepares and/or processes administrative requests/documents.
- Maintains files and databases.
- Assists with data collection, analysis, and preparation of presentations and reports.
- Assists with visualizations and updating information material.
Required Experience
Five years of experience in general office support or related area is required. The minimum years of relevant experience is reduced to 3 for candidates who possess a first-level university degree or higher. Experience in the coordination of service-wide activities (meetings and training), special projects and events is desirable. One year or more of experience in data analytics or related area is desirable.
Qualifications
High school diploma or equivalent is required.
