Overview
The HR and Admin Assistant is responsible for the efficient management of HR, Admin, and premises/warehouse functions at the field level, ensuring compliance with DRC's policies and procedures.
Key Responsibilities
- Assist in ensuring staff compliance with human resources policies.
- Ensure leave, recruitment, and training trackers are updated.
- Monitor staff attendance and timesheet submission.
- Assist in communicating with interview candidates and scheduling interviews.
- Prepare employee contracts.
- Ensure personnel files, health insurance, and social security administration are accurate and up to date.
- Assist managers and staff on performance management.
- Ensure new staff receive orientation and induction.
- Ensure clearance and debriefing for exiting staff.
- Ensure office systems and equipment are in good working order.
- Manage payment of office and guest house bills.
- Responsible for office supplies.
- Coordinate necessary repairs and maintenance.
- Manage contract arrangements with lessors.
- Establish central mail recording and filing systems.
- Ensure staff have valid Identification cards.
- Support stock receipt, recordkeeping, and storage.
- Support periodic checks of premises and supplies.
- Ensure inventory forms and casual contracts are documented and archived.
- Manage all procurement activities at the emergency office within the approved threshold.
- Implement procurement plans.
Required Experience
- Minimum 1 year's relevant work experience in a similar field.
- Familiarity with ERP systems (e.g., DYN).
- Experience with HR practices, staff coordination, and logistics is desirable.
Qualifications
Diploma in HR Management, Business Administration or equivalent professional qualification
