Overview

Provide business and administrative support to the Disaster Risk Management (DRM)/Shock-Responsive Social Protection (SRSP) team, focusing on partnership documentation, procurement coordination, and internal reporting to ensure smooth operations and compliance with WFP standards.


Key Responsibilities
  • Provide administrative support in drafting, reviewing, and finalizing Partnership Agreements and Field Level Agreements (FLAs).
  • Track timelines, deliverables, and clearance processes for partnership documentation.
  • Support procurement requests related to DRM/SRSP/DRF activities, ensuring proper documentation and compliance.
  • Liaise with Logistics and Finance units to facilitate purchase orders, delivery schedules, and payment clearance.
  • Maintain accurate records of procurement and administrative transactions.
  • Assist in preparing internal reports, briefs, and meeting notes.
  • Consolidate partner submissions and ensure timely reporting to donors and management.
  • Support preparation of presentations, factsheets, and administrative updates.
  • Organize workshops, missions, and coordination meetings, including logistical arrangements.
  • Maintain filing systems for agreements, procurement records, and programme documentation.
  • Provide day-to-day administrative support to the DRM/SRSP/DRF team.
  • Consolidate the initial draft of the joint unit workplan, monitor deliverables, and update as required.
  • Track partner financial and narrative reports to ensure compliance with agreements.
  • Support monitoring of procurement and partnership processes, flagging issues for corrective action.
  • Ensure accountability and transparency in administrative procedures.
  • Liaise with Protection and Inclusion Officer and act as a focal point for gender mainstreaming.
  • Collaborate with WFP Country Office communication focal points to support any events.
  • Coordinate with the Area Office to schedule field visits and manage related logistical arrangements.
  • Coordinate closely with WFP’s Social Protection unit and support in the development and management of activities related to shock-responsive social protection and Disaster Risk Financing.
  • In case of an emergency, support with coordinating relief efforts, alignment and communication with national disaster management authorities.
  • Perform other activities to support programme operations as required.
Required Experience
  • Has a minimum of five years in the field of disaster risk management, social protection or development sectors including project management.
  • Has experience utilizing computers, including Microsoft Office package (e.g., Word, Excel, Power Point) and other standard software packages and systems.
  • Has familiarity working with disaster risk management, reporting, programme management, monitoring and evaluation processes.
  • Has experience working with different types of external stakeholders at national and sub-national levels.
Qualifications
  • Completion of secondary school education.
  • A post-secondary certificate in the related functional area is desirable.
