Overview
The HR and Admin Assistant will support HR and administrative functions in Kabul, Afghanistan, ensuring adherence to NRC policies and efficient record-keeping.
Key Responsibilities
- Assist in reviewing job descriptions for accuracy.
- Ensure CVs are received, filed, and handed over for shortlisting.
- Act as an administrator for written tests and participate in interviews.
- Maintain recruitment files, training records, and leave records.
- Ensure HR databases are updated and staff information is collected on time.
- Maintain and update employee personal files.
- Check and ensure recruitment files, staff attendance, and timesheets are properly filled monthly.
- Support staff in obtaining Tax Identification Numbers and National Work Permits.
- Report on administration and HR activities to the support office.
- Carry out admin-related tasks, including correspondence with government and other agencies.
- Arrange accommodation for staff.
- Supervise office rooms and ensure provision of required goods and facilities.
- Request office supplies and stationery.
- Ensure timely processing of premise rent payments, electricity bills, and municipality clearance.
- Ensure timely provision of office space, desks, and accommodation for incoming staff.
- Scan recruitment and personal files and share original files with the Kabul Country Office.
- Ensure HR trackers are up to date.
- Ensure payroll and final payments for staff are processed on time.
- Finalize lunch menu and monthly prices, and ensure staff payments are made.
- Perform other assigned activities.
Required Experience
Experience in reviewing job descriptions, CV management, recruitment administration, record keeping, HR databases, employee personal files, staff attendance, timesheets, tax identification numbers, work permits, administrative tasks, correspondence, accommodation arrangements, office supervision, procurement of supplies, bill payments, and payroll processing.
