Overview

The Travel Assistant is responsible for coordinating travel for civilian and military personnel, calculating entitlements, and providing travel advice. The role ensures travel arrangements conform to established rules and regulations.


Key Responsibilities
  • Coordinates travel of civilian and military personnel.
  • Calculates and initiates travel entitlements.
  • Provides information on air services and economical airfare rates.
  • Contacts airlines for reservations and negotiates fares.
  • Calculates residual values of partially used tickets.
  • Computes and determines revised per diem amounts.
  • Arranges for changes or cancellations and ticket reissuance.
  • Converts departure and arrival times and identifies class of accommodation.
  • Examines and pre-audits official itineraries to determine air travel cost entitlement.
  • Reviews travel claims and supporting documentation.
  • Advises on efficient and cost-effective routings.
  • Maintains records of travel authorizations and savings.
  • Calculates daily subsistence allowance for senior UN staff and mission assignees.
  • Advises substantive offices, travelers, and movement control staff of arrival information.
  • Coordinates with Consulates and host government Ministries for visas.
  • Checks and corrects travel authorizations and cables.
  • Classifies and records travel authorization numbers.
Required Experience

A minimum of seven (7) years of experience in travel administration, including travel rate construction, routing, and travel reimbursement, or related area is required. Out of the seven years, at least five (5) years of experience in the United Nations common system or other similar international organization is desirable. Experience working with an Enterprise Resource Planning (ERP) system, such as Umoja, or similar travel module is desirable. Experience working as a Travel Agent within the airline industry is desirable.
