Overview
Provide critical support to office operations by facilitating coordination between Country Office management and staff, ensuring effective communication, and enhancing organizational efficiency.
Key Responsibilities
- Facilitate the Country Director’s interaction with external partners through written, verbal and electronic communication.
- Maintain the calendar and schedule meetings.
- Maintain the e-registry of incoming and outgoing correspondence/documents.
- Respond to the CO general phone number and address queries.
- Manage and maintain records and databases.
- Organize and attend meetings and events, prepare minutes and summaries.
- Follow up with the Country Director’s deadlines and commitments.
- Arrange Country Director’s travel and accommodation.
- Receive, screen, log correspondence, reports and formal documents.
- Maintain and update the CO filing and reference system.
- Draft moderately complex correspondence and review outgoing correspondence.
- Proof-read reports, documentation, and correspondence.
- Translate or oversee the translation of official documents to/from Armenian, Russian and English.
- Implement oral translation for the Country Director and Deputy Country Director.
- Establish and update organisational dashboards.
- Take participation in organizing external and internal events of CO.
- Act as the Security Focal Point for the Country Director’s office.
- Act as Vendor Focal Point.
- Act as Alternate Travel Focal Point.
Required Experience
Five or more years of progressively responsible work experience in the relative business stream with experience in general administrative work.
Qualifications
Completion of secondary school education. A post-secondary certificate in the related functional area is desirable.
