Overview
The role of Human Resources Specialist involves managing contracts, providing administrative and documentation support, and assisting with staff lifecycle processes within UNODC in Bolivia.
Key Responsibilities
- Manage recruitments, renewals, and terminations of contracts.
- Prepare and process new recruitments for personnel and consultants.
- Review documentation, verify requirements, and ensure completeness and correctness.
- Track the entire recruitment cycle from initial request to contract issuance.
- Manage contract renewals, gather required information, and prepare documents for approval.
- Monitor contract expiration dates and alert the team and Representative about upcoming renewals or closures.
- Coordinate separation processes according to UNODC guidelines.
- Follow up on exit forms and the return of assets, access, and other administrative tasks for contract closure.
- Organize, update, and maintain physical and digital files, databases, and information systems.
- Administer the leave, absence, and vacation module in Forhms.
- Register and maintain hires and terminations in Forhms.
- Prepare certificates, minutes, memos, and other administrative documents.
- Support the preparation of reports on personnel, recruitments, renewals, inductions, and training.
- Coordinate inductions for new staff, ensuring delivery of institutional information and mandatory UN System courses.
- Track progress of mandatory training and maintain updated records.
- Provide support to teams on HR processes, procedures, or documentation.
Required Experience
General work experience of 3 years in human resources: recruitment, selection, and hiring of personnel. Specific experience: At least 2 years in updating and maintaining databases, internal personnel management systems, or registration platforms.
Qualifications
Bachelor's degree in Business Administration, Communication Sciences, International Relations, Psychology and/or related fields (Essential). Diploma in Human Resources Management and/or Administration or similar (desirable).
