Overview
The Programme Assistant provides support in day-to-day programme, financial, human resources, and administrative functions for a project/programme or technical unit within the Country Office Support Unit.
Key Responsibilities
- Provide administrative support across a range of programme support activities.
- Review obligating documents and undertake reconciliations.
- Process transactions in the enterprise resource planning system and follow up on deliverables and payments.
- Support monitoring of country activities' implementation, including project/programme budget and financial expenditures.
- Brief staff on budget, financial, administrative, and human resources procedures.
- Provide input on planning, resource allocation, and human resources management.
- Assist with human resources administrative tasks, including monitoring staff contracts and acting as leave administrator.
- Coordinate administrative functions, including office space status and acting as office space focal point.
- Analyze incoming correspondence and requests, researching and providing background information.
- Draft correspondence and finalize reports for signature.
- Maintain the unit's filing system.
- Provide support for administrative and logistic preparations for meetings and staff travel.
- Support colleagues on general administrative processes and assist administrative staff.
Required Experience
Minimum of five years of work experience relevant to the position (in the secretarial/administrative field). Desirable: Relevant administrative and financial experience in WHO or in the United Nations system (UN). Experience in Oracle-based or other enterprise resource planning systems.
Qualifications
Essential: Completion of secondary education with equivalent administrative certification or training. Desirable: University degree in business administration, social sciences, or related field. Training in the administrative systems of a United Nations agency, fund or programme.
