Overview

The Programme Assistant provides support in day-to-day programme, financial, human resources, and administrative functions for a project/programme or technical unit within the Country Office Support Unit.


Key Responsibilities
  • Provide administrative support across a range of programme support activities.
  • Review obligating documents and undertake reconciliations.
  • Process transactions in the enterprise resource planning system and follow up on deliverables and payments.
  • Support monitoring of country activities' implementation, including project/programme budget and financial expenditures.
  • Brief staff on budget, financial, administrative, and human resources procedures.
  • Provide input on planning, resource allocation, and human resources management.
  • Assist with human resources administrative tasks, including monitoring staff contracts and acting as leave administrator.
  • Coordinate administrative functions, including office space status and acting as office space focal point.
  • Analyze incoming correspondence and requests, researching and providing background information.
  • Draft correspondence and finalize reports for signature.
  • Maintain the unit's filing system.
  • Provide support for administrative and logistic preparations for meetings and staff travel.
  • Support colleagues on general administrative processes and assist administrative staff.
Required Experience

Minimum of five years of work experience relevant to the position (in the secretarial/administrative field). Desirable: Relevant administrative and financial experience in WHO or in the United Nations system (UN). Experience in Oracle-based or other enterprise resource planning systems.

Qualifications

Essential: Completion of secondary education with equivalent administrative certification or training. Desirable: University degree in business administration, social sciences, or related field. Training in the administrative systems of a United Nations agency, fund or programme.

Remuneration
annual net base salary starting at USD 20,395 (subject to mandatory deductions for pension contributions and health insurance, as applicable) and 30 days of annual leave.
