Overview
Provide comprehensive administrative and operational support to the Mongolia Resident Mission, reporting to the Country Director.
Key Responsibilities
- Manage the supervisor's calendar and coordinate appointments, meetings, travel and accommodation.
- Prepare and distribute accurate correspondence, reports, and other documents.
- Handle routine correspondence independently and draft more complex documents for supervisor's review and signature.
- Manage incoming and outgoing communications, including mail, telephone calls, and enquiries.
- Record and route communications promptly, respond to routine enquiries, and refer other matters to appropriate staff.
- Coordinate day-to-day administrative activities, including team travel, meetings, meeting materials, minutes, document formatting, records management, and file maintenance.
- Liaise with government agencies, development partners, external stakeholders, and ADB Headquarters to support operational coordination and stakeholder relations.
- Coordinate headquarters missions, senior management visits, and major institutional events, including meetings, and logistics arrangements and follow-up actions.
- Manage workplace logistics including office space, equipment, furniture, security arrangement and office supplies.
- Perform other duties as may be required and reflected in your workplan.
Required Experience
At least 5 years of relevant professional experience in administrative support, office coordination, or project support.
Qualifications
Bachelor's degree in economics, public administration, business administration, or a related field.
