Overview
Provides administrative support for document processing, translation coordination, and human resources functions within the Secretariat of the Convention on Biological Diversity.
Tasks Summary
- Sends documents for translation, provides instructions, answers queries, and follows up with translators
- Reviews translations for consistency, format, and completeness
- Maintains records of translation flow and coordinates with translation shifts
- Acts as translation team leader during in-session periods
- Conducts terminology work and maintains a multilingual glossary
- Posts documents online and submits them for posting to the Official Document System
- Formats documents using MS Word, including creating tables, graphics, and charts
- Assists with hiring and payment of contracted language personnel
- Prepares purchase orders for translators and liaises with Finance and Budget Unit
- Creates shopping carts in UMOJA and follows up for approval
- Communicates with language contractors regarding contracts
- Creates Service Entry Sheets for payment processing
- Prepares correspondence and files translator documents in SharePoint
- Maintains a list of per-word translators for tracking purposes
- Assists with recruitment of interpreters for pre-session meetings
- Responds to auditors' queries and proposes solutions
- Assists with data collection, analysis, and report preparation
- Assists with updating information material such as web pages or brochures
Experience Requirements
Experience in performing a broad range of administrative functions, including budget and work programme coordination, human resources support, and database management.
