Overview
The Procurement Assistant provides administrative support in managing procurement and contract processes for goods and services. The role ensures customer satisfaction and promotes the image of the Business Unit as an effective service provider.
Tasks Summary
- Assists in drafting terms of reference, evaluation reports, and contract award requests.
- Processes procurement transactions in the OneUNOPS system.
- Assists in preparing contracts and long-term agreements.
- Prepares reports, tables, and charts.
- Tracks routine procurements and maintains status reports.
- Monitors Tender inbox and redirects communications.
- Supports identification of potential vendors.
- Provides transactional support for procurement processes.
- Collaborates with clients on procurement aspects.
- Provides guidance on routine procurement processes.
- Assists the team during workload peaks.
- Tracks vendors and reports on their status.
Experience Requirements
- Minimum 4 years of relevant professional experience in administration and/or procurement of goods and services.
- Proficiency in IT and office software (MS Office).
- Experience in managing web-based management systems.
- Experience in international organizations and/or public entities is desirable.
- Experience working with diverse stakeholders in developing countries is desirable.
- Experience in United Nations system organizations is valued.
- Experience in using enterprise systems, including OneUNOPS, is valued.
Qualification Requirements
- Secondary education is required.
- A first-level university degree in Business Administration, Public Administration, Law, Supply Chain Management, or equivalent disciplines is desirable.
