Overview

The Programme Administrative Associate provides administrative support and services to internal and external stakeholders, offering guidance on administrative matters to the Country Office and UNFPA-supported projects. The role supports the effective implementation of UNFPA programme activities in the Country Office by performing administrative, financial, and procurement tasks.

Tasks Summary
  • Provide day-to-day administrative and logistical support to programme teams.
  • Assist in tracking programme implementation activities.
  • Support the preparation of requisitions, follow-up on payments, maintain financial records, and assist with HR-related actions.
  • Maintain organized files for programme activities, partner agreements, and project documents.
  • Liaise with implementing partners for administrative needs.
  • Assist in collecting and consolidating data for programme reports.
  • Support asset tracking and supply follow-up.
  • Act as a point of contact between programme staff and Operations.
  • Examine and process payroll entitlements.
  • Support hiring and onboarding of consultants.
  • Review and monitor charges for common services and cost recovery.
  • Develop and maintain tools for monitoring programme and project budgets.
  • Follow up with UNDP on payment processing.
  • Facilitate payroll-related tasks.
  • Monitor petty cash account and fuel account.
  • Conduct spot checks and field monitoring visits to implementing partners.
  • Assist in preparing training materials and participate in capacity-building sessions.
  • Conduct audit preparation for implementing partners.
  • Provide support during audits.
  • Supervise administrative and clerical staff as required.
  • Perform any other duties as assigned by the supervisor.
Experience Requirements
  • Six years of relevant experience in administration, finance or office management;
  • Previous experience in the UN is an asset.
Qualification Requirements
  • Completed Secondary Level Education required.
  • First level university degree in public administration, business, social sciences, or a related field is desirable.
