Overview

Provide support for programme and project operations, including budget monitoring, data collection and analysis, and administrative arrangements for travel and events.

Tasks Summary
  • Monitor Programme and Project budgets, ensuring proper allocation and reporting.
  • Collect and prepare data and background information in FAO activity areas.
  • Support preparation of technical programme work and travel plans and follow up implementation.
  • Enter and analyze data in corporate databases (PIRES, FPMIS, COIN, iMIS).
  • Compile data to determine fund availability for procurement requirements.
  • Support preparation of draft Letters of Agreements (LoA).
  • Assist in monitoring project budgets through regular review of transaction listings.
  • Support organization of workshops, meetings, and events.
  • Prepare travel authorization requests and payment requests for local travel.
  • Obtain travel bookings and arrange hotel bookings for visiting missions or experts.
  • Follow up receipt of travel claims and back-to-office reports.
  • Follow up preparation and submission of technical support services claims.
  • Manage the cycle of contracts for affiliate workforce in GRMS.
  • Develop and/or review Terms of Reference of affiliate workforce.
  • Prepare procurement requests for project inputs.
  • Prepare payment requests for goods and/or services.
  • Prepare background materials, working papers, and tables for briefings and meetings.
  • Maintain files for assigned tasks.
  • Make arrangements for meetings, seminars, and events, including logistics and minutes.
  • Draft correspondence, documents, and reports.
  • Carry out other specific operational tasks for programme/project implementation.
Experience Requirements
  • Four years of clerical and/or programme experience, including analysing, processing and editing of information and data and record keeping.
  • UN experience is an advantage.
Qualification Requirements

• Completion of secondary school education, preferably complemented by training or technical courses in programme/project support, administration, or data management.

Other Details

Languages Required: Working knowledge (Proficient-level C) of English and Working knowledge of the local language of the country.
