Overview

Provides Front Desk secretarial and administrative support under the supervision of the Division Director. Responsible for managing correspondence, inquiries, and administrative tasks to support the Division's operations.

Tasks Summary
  • Screen incoming mail and draft replies.
  • Keep track of pending matters and follow up on deadlines.
  • Screen phone calls and visitors.
  • Respond to information requests and refer queries.
  • Draft routine and non-routine correspondence.
  • Proofread and edit documents.
  • Assist in the preparation of papers and presentations.
  • Undertake computer-based searches and compile background information.
  • Initiate and follow up on actions related to recruitment, purchases, and travel.
  • Perform general administrative tasks like arrangements for meetings and events.
  • Prepare requests and documents such as requisitions and travel authorizations.
  • Carry out ad-hoc assignments and research activities.
  • Maintain electronic files and databases.
  • Perform any other related duties as assigned.
Experience Requirements
  • A minimum of six (6) years of work experience in the relevant field of the post, is required.
  • Experience in office procedures and practices, preferably within the UN system or in a multicultural environment, is desirable.
  • Experience in providing support to managerial/professional staff and using administrative skills, is desirable.
  • Experience/proficiency in using Microsoft Office (Outlook, Word, Excel and PowerPoint), internet, is required.
  • Experience with SAP or similar ERP software is desirable.
Qualification Requirements
  • Completed higher secondary education, high school diploma or equivalent is required.
  • Formal secretarial/clerical training or equivalent is desirable.
  • Credit towards total working experience may be considered on a year by-year- basis, up to maximum of four years, for a higher degree education (including first university degree or equivalent diploma and/or master’s degree), in a relevant field to the post.
Other Details

Languages Required: • Fluency in written and spoken English is required.

Languages Preferred: • Fluency and/or working knowledge of another official UN language, particularly Russian is desirable.

Remuneration: Indicative Minimum Net Annual Salary: 51,384 EUR
