Overview

The Project Associate will ensure efficient administration of the project and support the project manager in procedural project implementation and reporting. The role is responsible for the operations of project activities and timely inputs of data and records into a cloud-based digital engagement platform.

Tasks Summary
  • Assist in efficient delivery of the joint project, focusing on administrative, logistical, travel, procurement, financial and asset management tasks.
  • Provide support to procure goods and services required by the project.
  • Provide administrative support in arranging Joint Project related meetings.
  • Participate in the preparation of work plans, operation plans and procurement plans.
  • Provide support in quality control of Joint Project activities.
  • Maintain an appropriate filing system and documenting the implementation.
  • Provide support in regular monitoring and data collection of Joint Project activities.
  • Provide general secretarial and administrative assistance to the Joint project.
  • Ensure administration and implementation of operational strategies, adapt processes and procedures.
  • Provide financial support to the Joint Project, focusing on drafting progress reports with financial data, assisting in budget cycle, monitoring expenditures, and preparing for mandatory and general budget revisions.
  • Provide operations support to the Joint Project, ensuring UNDP procurement rules are followed, maintaining responsibility for project asset inventory, organizing procurement processes, coordinating surveys, preparing travel documents, supporting protocol matters, compiling and organizing information, preparing vendor creation documents, ensuring proper control of supporting documents for payments, and providing financial monitoring over commitments and expenditures.
  • Keep regular contact with Joint Project experts and consultants.
  • Control the usage and proper accounting of non-expendable equipment, inventories and materials.
  • Provide necessary administrative, financial and logistical support to Joint Project events.
  • Keep files of Joint Project documents and expert reports.
  • Act on telephone inquiries, fax, post and e-mail transmissions, and co-ordinate appointments.
  • Provide translation of documents for/to English/Russian/Belarusian as required.
  • Draft Joint Project correspondence and documents; finalize correspondence of administrative and financial nature; edit reports and other documents.
  • Assist in collection, preparation and submission of support documents for NPSA contracts extensions.
Experience Requirements
  • Minimum 7 years (with Secondary education) or 4 years (with Bachelor´s degree) of relevant work experience in the field of Economics, Finance, Business Administration, Management, Accounting or other related area.
  • Demonstrated experience of working in a multi-cultural work environment is required.
  • Experience in the usage of computers and office software packages (MS Word, Excel, etc) and advance knowledge of spreadsheet and database packages, experience in handling of web-based management systems.
Qualification Requirements
  • Secondary Education is required.
  • University degree (Bachelor’s degree) in Economics, Finance, Business Administration, Management, Accounting or related field will be given due consideration but is not a requirement.

Languages Required: English and Romanian

Languages Preferred: Minority languages relevant for Moldova, including Bulgarian, Gagauzian, Romani, Russian, Ukrainian and sign language
