Overview

Assists in the preparation and compilation of aviation safety reports, briefing materials, and technical evaluations. Provides administrative and client support for the Aviation Safety Section.


Key Responsibilities
  • Assists in preparation and compilation of the Aviation Safety Annual Report by compiling and maintaining the occurrences database, preparing graphics, tables, and statistics, and drafting text.
  • Assists with the preparation of briefing and presentation materials, speeches, talking points, background information and documentation for meetings.
  • Assists with the compilation of technical evaluations for long- and short-term contracts.
  • Establishes and maintains relevant technical reference library.
  • Supports the renewal of technical aviation safety database subscriptions.
  • Administers Board of Inquiry (BOI), Board of Auditors (BOA) and similar inquiries, including maintenance of the filing system.
  • Supports technical and administrative knowledge management and the development and revision of aviation safety related training and e-learning material.
  • Provides client support and basic administration of the aviation safety platform.
  • Researches best practices and poses new, more effective ways of doing aviation safety to improve business processes; Supports implementation of operational strategies.
  • Provides support with respect to all aspects of the services offered by the Section.
  • Administers Learning Management System (LMS) activities, including course setup, enrolments and training records.
  • Supports implementation of operational strategies. Reports to internal and external clients.
  • Manages the Section's common email account; responds to internal and external clients.
  • Administers the Section's organization of conferences, workshops and meetings. Administers routine communications and maintains, updates and follows up on the Section’s official communication log.
  • Assists with budget activities for input into budget formulation; monitors budget estimates and reports on funding allocations. Maintains staffing lists and reports as required.
  • Familiarizes and supports new staff with respect to office procedures and applicable United Nations guidelines.
  • Performs other duties as required.
Required Experience

A minimum of five (5) years of experience in logistics support, procurement, administration or related area is required. The minimum years of relevant experience is reduced to three (3) years for candidates who possess a first-level university degree or higher. Experience working in an aviation work environment is desirable. Experience in aviation safety and/or aviation security is desirable. Experience using Microsoft Office Suite such as Word, Excel, PowerPoint, as well as PowerBi is desirable. Experience working with Enterprise Resource Planning (ERP) systems (such as SAP, Oracle) or similar systems is desirable. Experience managing Learning Management Systems and working with course authoring tools (such as Articulate 360, H5P, Adobe Captivate, etc.) is desirable. Experience in sourcing, cleaning and preparing data, selecting and developing visualizations/metrics that enable easy communication/interpretation by the users is desirable.
