Overview

The Senior Administrative Assistant will coordinate and handle human resource activities, provide budget and finance assistance, and perform general administrative duties within the Administrative Law Division.


Key Responsibilities
  • Coordinates and handles human resource activities including recruitment, placement, promotion, relocation, performance appraisal, job classification reviews, and separation of staff.
  • Provides information and advice to staff/consultants on conditions of service, duties, responsibilities, privileges, and entitlements.
  • Assists in the preparation and development of the work programme and budget, and monitors budget implementation and expenditures.
  • Collects data from databases and prepares financial reports.
  • Reviews, analyses, and assists in the finalization of cost estimates and budget proposals.
  • Assists managers in elaborating resource requirements for budget submissions.
  • Assists with requisitions for goods and services.
  • Monitors extra-budgetary resources.
  • Assists in the preparation of budget performance submissions and reports.
  • Provides guidance, training, and daily supervision to other general service staff.
  • Coordinates and liaises with ALD teams.
  • Performs other related administrative duties, including official travel, monitoring accounts, payment to consultants, space planning, and office technology needs.
  • Prepares and processes UN forms and permissions for ALD staff, including UN grounds passes and swipe-card access.
Required Experience
  • A minimum of ten (10) years of experience in administrative services, finance, accounting, audit, human resources or related area is required.
  • The minimum years of relevant experience is reduced to eight (8) years for candidates who possess a first-level university degree or higher.
  • A minimum of two (2) years of experience in recruitment at the United Nations or a similar international organization, including interviewing and candidate vetting is required.
  • Experience in result-based budgeting is required.
  • Experience in change management, development, and implementation of new initiatives is desirable.
  • Experience in data analytics or related area is desirable.
Qualifications

• High school diploma or equivalent.
