Overview
Coordinate and deliver integrated financial, administrative, and management support services at the local office, ensuring optimal use of resources, compliance with policies, and service quality. This role contributes to informed decision-making through financial analysis, reporting, and operational support.
Key Responsibilities
- Coordinate and deliver integrated financial, administrative, and management support services.
- Contribute to and implement WFP country plans, including administrative processes.
- Provide inputs to country office administrative business processes mapping and implementation of internal standard operating procedures (SOPs).
- Carry out complex data analysis to provide management and clients with accurate information and reports.
- Manage existing resources and estimate new requirements.
- Prepare Purchase Orders (POs) for management services activities.
- Support organization of procurement processes.
- Provide administrative support to conferences, workshops, retreats.
- Process Service Entry Sheets (SES)/Goods Received Notes (GRN), manage invoices and payments.
- Process TA as Travel Focal Point (TFP) for field office operations.
- Extract data from various sources and prepare reports.
- Research and retrieve statistical data; prepare statistical charts, tables and reports.
- Contribute to the preparation, implementation, and monitoring of budgets, monitor expenditure, and budget forecasts.
- Monitor cash account balance and initiate financial transactions.
- Follow up on deadlines, commitments made, actions taken and coordination of collection and submission of reports.
- Support a culture of environmental sustainability.
- Guide and supervise more junior staff.
- Follow standard emergency preparedness practices.
- Ensure adherence to internal controls, risk management practices, and organizational policies.
- Maintain accurate records and documentation for audit and reporting requirements.
- Contribute to emergency preparedness and response by ensuring continuity of financial and administrative services.
- Perform any other related activity as assigned by immediate supervisor.
Required Experience
Minimum six (6) years of progressively responsible relevant work experience in the related field of Finance or Administration. Post-secondary education can compensate for some years of experience. For example, three (3) years of work experience in combination with a Master’s Degree; Four (4) years of work experience in combination with a Bachelor’s Degree. Will be an asset: Experience in financial management, budgeting, and reporting. Experience in administrative or operational support services (e.g., HR, procurement, asset management, travel, or facilities). Proven experience in data analysis, reporting, and use of management information systems. Experience supervising or coordinating support staff and working across multiple service areas. Experience in humanitarian or development contexts, including audits or compliance processes.
Qualifications
Completion of secondary education. University degree and/or training/courses in one or more of the following disciplines: Finance, Accounting, Administration or related discipline.
