Overview

Provides administrative support within the Office of the Secretary of the Commission, contributing to the implementation of subprogrammes and reporting to a senior officer.


Key Responsibilities
  • Performs office management and administrative support functions.
  • Maintains liaison with other units regarding programmes and administrative matters.
  • Ensures smooth information flow, prepares and processes confidential information.
  • Researches, compiles and summarizes background materials.
  • Assists in coordinating service-wide activities, special projects and events.
  • Orients new staff and provides general assistance to other support staff.
  • Attends meetings, prepares minutes, and monitors follow-up activities.
  • Responds to and drafts correspondence.
  • Manages, updates and develops internal databases; updates website.
  • Generates statistical and other reports.
  • Performs quality control for outgoing documents; proofreads and edits texts.
  • Responds to complex information requests.
  • Prepares answers to invitations for conferences, seminars, workshops, etc.
  • Assists in the preparation of presentation materials.
  • Maintains calendar/schedules and communicates relevant information.
  • Performs administrative duties such as leave recording, meeting organization, reservations, supply orders, contracts and payments.
  • Responsible for travel arrangements and requests for participants.
  • Maintains files and databases.
  • Assists with data collection, analysis, and preparation of presentations and reports.
  • Assists with visualizations and updating information material.
  • Performs other duties as assigned.
Required Experience

At least five (5) years of experience in general office support, administrative services or related area is required. The minimum years of relevant experience is reduced to three (3) for candidates who possess a first level university degree or higher. Experience working with intergovernmental meetings is required. Experience in organizing high-level official events and activities is desirable. One (1) year or more of experience in data analytics or related area is desirable.

Qualifications

High school diploma or equivalent is required.
