Overview
The Administrative Assistant (FS5) role is responsible for performing a range of administrative duties within the United Nations Peacekeeping Force in Cyprus (UNFICYP), Nicosia, reporting to the Senior Adviser or their designate.
Key Responsibilities
- Coordinates human resource activities including recruitment, placement, and performance appraisals.
- Maintains records of performance evaluation status and assists in formulating responses to rebuttal cases.
- Advises staff on visa matters and coordinates the induction of new staff.
- Provides information and advice on conditions of service, duties, privileges, and entitlements.
- Monitors office staffing tables for various human resource activities.
- Provides expert assistance and coordination in the preparation and development of the office's work plan and budget.
- Assists in monitoring budget implementation and expenditures, suggesting reallocation of resources.
- Reviews and verifies fund availability for requisitions and ensures system updates.
- Monitors extra-budgetary resources, including review of agreements and cost plans.
- Assists in the preparation of year-end budget performance reports and finalization of reports analyzing variances.
- Provides direct support to the Senior Adviser as UNFICYP focal point for evaluation.
- Coordinates the Head of Mission and Senior Adviser's work schedule, calendars, and travel.
- Coordinates requests submitted to UNFICYP sections, assists in reviewing briefing materials, and drafting correspondence.
- Coordinates guidance, training, and supervision of other staff.
- Provides assistance in drafting host country agreements, budget agreements, and contributions for grants.
- Identifies and resolves diverse issues and problems.
- Coordinates with service units and liaises with internal team members.
- Provides support and assistance to the mission's focal point on Conduct and Discipline matters.
- Performs other related administrative duties, including operational travel programs, monitoring accounts and payments, physical space planning, office technology needs, and organizing seminars/conferences.
Required Experience
- At least eight (8) years of progressively responsible experience within the United Nations system or the private sector in the field of administration, finance, accounting, human resources, or in other related fields is required.
- Proven experience in directly supporting the work of senior officials at ASG level is required.
- Prior experience in supporting a mission’s evaluation work is required.
- Experience in international operations in a post-conflict environment is desirable.
- Experience in Enterprise Resource Planning (ERP) systems (i.e. Umoja) is desirable.
Qualifications
• High school diploma or equivalent is required.
