Overview

Provides support to the Travel Unit by coordinating travel for personnel, calculating entitlements, and advising on travel arrangements.


Key Responsibilities
  • Coordinates the travel of civilian and military personnel.
  • Calculates and initiates entitlements for all such travel.
  • Provides information about air services and advises staff on economical airfare rates.
  • Contacts airlines to make reservations and negotiates fares.
  • Calculates residual values of partially used tickets and computes revised per diem amounts.
  • Arranges for changes or cancellations requested by travelers.
  • Converts departure and arrival times and identifies class of accommodation.
  • Examines and pre-audits official itineraries to determine air travel cost entitlement.
  • Reviews travel claims and supporting documentation for completeness, accuracy, and validity.
  • Advises on more efficient and cost-effective routings.
  • Maintains records of travel authorizations processed and records savings.
  • Calculates daily subsistence allowance and other travel costs.
  • Advises substantive offices, travelers, and movement control staff of arrival information.
  • Coordinates with Consulates and host government Ministries of Foreign Affairs regarding visas.
  • Checks and corrects travel authorizations and cables.
  • Classifies and records travel authorizations numbers.
  • Assists with data collection, analysis, and preparation of reports.
  • Assists with visualizations and updating information material.
Required Experience

A minimum of seven (7) years of experience in travel administration, including travel rate construction, routing, and travel reimbursement, or related area is required. The minimum years of relevant experience is reduced to three (5) years for candidates who possess a first-level university degree or higher. Out of the seven (7) years, at least five (5) years of experience in the United Nations Common System or other similar international organization is desirable. Experience working with an Enterprise Resource Planning (ERP) system, such as SAP, or similar travel module is desirable. Field experience is desirable.

High school diploma or equivalent is required.
