Overview

Provides substantive and administrative support in managing priorities and workflow for the Deputy Director and Director, and the work unit. Compiles and analyzes complex data from various sources to support decision-making.


Key Responsibilities
  • Assists in the overall administration of the division, coordinating and monitoring diverse activities and work processes.
  • Compiles and analyzes complex data, ensuring quality, integrity, and accuracy.
  • Utilizes data transformation, statistical, and analytical tools for data processing and analysis.
  • Develops and maintains data models, dashboards, analytical reports, and visualizations.
  • Serves as a communications link between the Deputy Director and Director and senior staff.
  • Manages time management and scheduling on behalf of the Deputy Director and Director.
  • Acts as a first point of contact and liaison with senior officials.
  • Screens and prioritizes incoming correspondence.
  • Researches, compiles, and summarizes background materials for reports and briefs.
  • Handles a wide range of complex information requests and inquiries.
  • Supports managers in presentations to intergovernmental bodies and other meetings.
  • Establishes/improves administrative procedures and systems.
  • Oversees work of office support staff, assigning tasks and reviewing outputs.
  • Organizes and provides administrative support for meetings, workshops, and conferences.
  • Prepares, processes, and classifies confidential information.
  • Handles a wide range of administrative duties including travel arrangements and expense statements.
  • Exercises quality control for outgoing documents, proofreading and editing texts.
  • Manages, updates, and develops internal databases and websites.
  • Generates statistical and other reports from databases.
  • Performs other duties as assigned.
Required Experience

A minimum of seven years of experience in general office management and administration or related area is required. The minimum years of relevant experience is reduced to five (5) years for candidates who possess a first-level university degree or higher. Experience managing calendars and organizing and supporting meetings and conferences is required. At least 2 years of experience in data collection, analysis, and data visualization methodologies, including the management of structured and unstructured datasets is required. Experience in the advance use of Microsoft 365 applications and platforms, particularly SharePoint, Power BI, Power Query, Excel, and PowerPoint, and their application to operational reporting and workflow automation is required. At least 1 year of experience with programming languages Python or similar and statistical software for data processing, automation, analysis, and management of large datasets is required. Experience in making travel arrangements and processing it using an Enterprise Resource Planning (ERP) system, such as Umoja or equivalent, is required. Experience working with senior officials in an international organization is desirable.
