Overview

Provide administrative support within the Department of Operational Support, focusing on human resources management, budget and finance, general administration, and contract administration.


Key Responsibilities
  • Initiate, review, process and follow-up on human resource actions.
  • Respond to staff enquiries regarding entitlements and administrative procedures.
  • Oversee maintenance of vacancy announcement files and track status.
  • Review and process personnel actions through ERP Systems.
  • Monitor staffing table and prepare statistical data.
  • Assist in preparation and review of financial and human resource proposals.
  • Monitor expenditures and prepare adjustments.
  • Assist managers in elaborating resource requirements.
  • Assist in preparation of budget performance submissions and reports.
  • Coordinate with finance and budget staff.
  • Draft routine correspondence and communications.
  • Contribute inputs to periodic reports.
  • Coordinate with partners to respond to information requests.
  • Review, log and route incoming correspondence.
  • Set up and maintain files/records.
  • Organize meetings and workshops.
  • Handle routine administrative tasks.
  • Proofread and process outgoing correspondence.
  • Perform other related administrative duties.
  • Assist with data collection, analysis, and preparation of presentations/reports.
  • Assist with visualizations and updating information material.
  • Assist with day-to-day administration of contracts.
  • Audit contractors' invoices.
  • Process payment of contractors' invoices and monitor payments.
  • Prepare and process UN forms and permissions for contractual work.
Required Experience

A minimum of seven years of experience in programme or project administration, finance, audit, human resources, technical cooperation or related area. One year or more of experience in data analytics or related area is required. The minimum years of relevant experience is reduced to five years for candidates who possess a first-level university degree or higher. Experience using Enterprise Resource Planning (ERP) Systems such as Umoja (IPMR) is required. Experience working on partnership issues in or with an international organization, regional or sub-regional organization is desirable. Experience in data science, information management, or related area is desirable.
