Overview
The Administrative Assistant will report to the Finance and Administration Officer and be responsible for a range of administrative, financial, and human resources functions within the United Nations Office of the High Commissioner for Human Rights (OHCHR) in Chisinau, Moldova.
Tasks Summary
- Initiates, reviews, processes, and follows up on human resource actions for non-staff and consultants
- Responds to enquiries regarding entitlements and administrative procedures
- Oversees vacancy announcement files and processes personnel actions
- Monitors staffing tables and prepares statistical data
- Assists in budget and financial proposal preparation and review
- Monitors expenditures and prepares adjustments
- Assists managers with resource requirements and budget performance submissions
- Prepares financial reports and coordinates with finance/budget staff
- Drafts routine correspondence
- Coordinates with service units and internal team members
- Performs other administrative duties including travel, grant management, payments, space planning, technology needs, seminars, and inventory management
- Manages event organization, workshops, and field visits
- Ensures timely payments, procurement, and document storage
- May guide and train junior staff
- Assists with data collection, analysis, and report preparation
- Assists with day-to-day administration of contracts with external contractors
- Audits contractor invoices and processes payments
- Prepares and processes UN forms and permissions for staff
Experience Requirements
Experience in performing a broad range of administrative functions, e.g., budget/work programme, human resources, database management.
