Overview
Performs a full range of management and administrative support functions for the Team of Experts. Ensures smooth and efficient information flow and provides assistance in the coordination of service-wide activities.
Tasks Summary
- Performs management and administrative support functions
- Maintains liaison with Executive Office and senior officials
- Ensures information flow within the unit
- Prepares and processes confidential information
- Assists in development of office administrative systems and procedures
- Provides assistance in coordination of service-wide activities
- Prepares presentation materials
- Orients new staff to administrative procedures
- Attends meetings and prepares minutes
- Monitors follow-up activities
- Responds to or drafts responses to correspondence
- Handles administrative duties/processes (e.g., travel, visas, expenses, purchases, requisitions, bookings)
- Carries out quality control for outgoing documents
- Proofreads and edits texts
- Researches, compiles, and summarises background materials
- Maintains calendar/schedules
- Performs administrative duties (e.g., leave recording, meeting organization, reservations, supply orders, budget support, recruitments)
- Prepares/processes administrative requests/documents
- Maintains files and databases
- Performs other duties as assigned
Experience Requirements
- Minimum of five years of experience in general office support or related area is required
- Experience in the use of Microsoft Office applications including Microsoft Word, PowerPoint and Excel is required
- Experience in the use of database software to organize, analyze and archive is desirable
Qualification Requirements
High school diploma or equivalent is required
