Overview

Supports research, compilation, analysis, and presentation of data on substances controlled under the Montreal Protocol. Assists with administrative, budgetary, and financial tasks for the Secretariat of the Vienna Convention and its Montreal Protocol.


Tasks Summary
  • Supports research and analysis of data on production and consumption of controlled substances
  • Assists in recording and analyzing data on controlled substances
  • Processes and updates accounting framework data into the database
  • Responds to queries from members of subsidiary bodies and implementing agencies
  • Prepares, maintains, and updates electronic files
  • Undertakes research and gathers information
  • Drafts correspondence related to the Implementation Committee and compliance
  • Maintains contact lists
  • Drafts and processes invitation letters for meetings
  • Monitors pre-session documents for editing and translation
  • Assists with travel arrangements for missions and participants
  • Ensures logistical preparations for meetings
  • Supports screen projection during meetings
  • Finalizes participant lists and post-meeting correspondence
  • Finalizes travel claims
  • Contributes to budget preparation
  • Monitors expenditures and prepares accounting adjustments
  • Assists in preparing budget performance reports and analyzing variances
  • Reviews weekly reports and flags concerns
  • Reviews weekly contribution reports and prepares acknowledgement letters
  • Assists with data collection, analysis, and preparation of presentations and reports
  • Assists with visualizations and updating information material
  • Performs other duties as assigned

Experience Requirements

A minimum of seven (7) years of progressive experience in general office support, programme management, administrative assistance, or a related field is required. The minimum years of relevant experience is reduced to five (5) years for candidates who possess a first-level university degree or higher. Experience in accounting is required. Experience working with MS Office Suite (Word, Excel, PowerPoint) or related applications is required. Experience working with Enterprise Resources Planning (ERP) systems, in processing travel, budgets and preparing reports is desirable. Experience in preparing cost estimates and expenditure monitoring is desirable. One (1) year or more of experience in data analytics or a related area is desirable.


Qualification Requirements

High school diploma or equivalent is required. Supplementary training in accounting is desirable.
