Overview
The Administrative Intern will provide administrative assistance to the Administrative Unit and support the operation, contributing to the effective implementation of routine administrative services and activities.
Tasks Summary
- Receive visitors, place and screen telephone calls, respond to routine requests for information and take notes at meetings.
- Maintain hard and electronic office files and records; classify and code material.
- Receive, review, sort and distribute all incoming and outgoing correspondence, office pouch and material.
- Draft routine correspondence, memoranda and reports.
- Facilitate implementation of Personnel administrative formalities and processing of documents in relation to official travels, leaves and movements of staff.
- Maintain office inventory and stocks of office supplies.
- Make logistic and administrative arrangements for seminars, workshops, and briefings.
- Monitor office facilities and equipment and take appropriate action to ensure proper functioning.
Experience Requirements
Qualification Requirements
- Be either a recent graduate (having completed their studies within two years of applying) or a current student in a graduate/undergraduate school programme from a university or higher education facility accredited by IAU/UNESCO ;
- Have completed at least two years of undergraduate studies in a field relevant or of interest to the work of UNHCR .
- not have exhausted the maximum cumulative internship period with UNHCR, including any prior internships (8 months for full-time and 12 months for part-time)
