Overview

The Business Support Assistant (Budget, Programming & Finance Assistant) supports the effective management of financial and budgetary resources by completing budget and programming and finance-related processes. The role involves applying sound judgment to operational issues and recommending actions.

Tasks Summary
  • Contribute to the review of budget plans, monitoring and analysis of financial project performance.
  • Perform sub-allotment based on need or requests and make recommendations in compliance with WFP financial policies and procedures.
  • Provide basic analysis on fund and grant balances.
  • Enter accurate data in corporate systems within established deadlines.
  • Compile data and provide basic analysis, maintain accurate records and files, and prepare periodic and ad hoc reports.
  • Maintain communication with colleagues regarding project funds management matters.
  • Follow standard emergency preparedness practices.
  • Monitor sub-imprest bank and petty cash accounts regularly.
  • Maintain petty cash and record related financial data.
  • Support the Finance Assistant to prepare monthly cash forecasts and replenishment from HQ, monthly cash/receipt reconciliation and receipt and journal vouchers.
  • Track Open Items, Vendor payables, Staff Payables/Receivables, Operational Advances, Goods Receipt / Invoice Receipt.
  • Ensure proper filing for all unit’s related documentation and assist in document retrieval.
  • Assist in preparation of budget, accounting, financial reports, statistical reports, and other reports as required.
  • Deal with Bank including addressing any issue related to bank transactions with the bank and vendors.
  • Act as alternate for Budget and Finance staff and backstop their work in case of absence.
Experience Requirements
  • Minimum 5 years relevant work experiences
  • Has assisted with the preparation of complex financial documents.
  • Has supported the performance of budget analyses.
  • Has contributed to the collection of pipeline data.
  • Has experience collecting and monitoring financial data on projects and programmes, assessing financial transactions, and reporting is an advantage
Qualification Requirements
  • Completion of secondary school education.
  • A post-secondary certificate in the related functional area is desirable.
Other Details

Languages Required: Fluency (level C) in English language and Tetum.

Languages Preferred: Knowledge in Portuguese is a plus.
