Overview

The Project Administrative Assistant provides administrative support for project implementation in coordination with national counterparts and relevant agencies. The role supports the "Enhance Peace and Prosperity through Women’s Leadership and Inclusion" project.

Tasks Summary
  • Serve as focal point for coordination of project implementation administrative support activities.
  • Provide general office management assistance and handle administrative tasks.
  • Support project-related missions and activities, including preparing budgets and coordinating travel.
  • Compile and prepare background information and tables for briefing sessions.
  • Compile, summarize and enter data on project delivery and draft status reports.
  • Maintain an overview of the financial situation of the projects and prepare budget data.
  • Maintain and update relevant databases/records/registers/control plans.
  • Draft substantive correspondence on project/programme activities and briefing notes.
  • Liaise with concerned ILO constituents, implementing agencies and donors.
  • Arrange internal and external meetings and appointments, and take minutes.
  • Provide guidance and training to junior project/programme support staff.
  • Process all project payments and document financial transactions.
  • Provide informal interpretation and translation.
  • Perform other relevant duties as assigned.
Experience Requirements
  • At least five years’ experience in general office management and clerical support work.
  • Familiarity with United Nations’ administrative and financial procedures would be an advantage.
  • Practical experience with standard office software packages and email required by the work unit (e.g., WORD, EXCEL, PowerPoint).
Qualification Requirements

Completion of secondary school education.

Other Details

Languages Required: Excellent knowledge of English and of Romanian.

Languages Preferred:

Contract Duration: one year with the possibility of extension

Work Modality:

Remuneration: The entry level salary for this position is 328,620. MDL yearly.
