Overview

The Human Resources Assistant will be responsible for supporting recruitment and placement, administration of entitlements, data reporting, and classification processes within the Common Administrative Platform.


Key Responsibilities
  • Participates in the recruitment and placement of staff at all levels.
  • Assists in the filling of posts across all categories, including initiating and following up on reference checks and academic verifications; prepares and manages Job Openings (JOs) and Temporary Job Openings (TJOs), ensuring completion of all pre recruitment formalities.
  • Monitors and tracks the status of all JOs and TJOs on an ongoing basis to support adherence to established timelines and target dates.
  • Maintains and oversees JO and TJO files to ensure timely processing of staff appointments and assignments.
  • Reviews and processes personnel actions in Umoja in accordance with applicable policies and procedures.
  • Provides guidance to staff on travel and visa related administrative matters.
  • Responds to enquiries and provides guidance on recruitment, placement and relocation procedures.
  • Reviews and processes requests for entitlements.
  • Maintains entitlement records and provides guidance on applicable rules, procedures and supporting documentation.
  • Generates, consolidates and analyses HR data and reports to support operational needs and management decision making.
  • Maintains and updates HR dashboards and tracking tools to monitor key human resources indicators.
  • Performs quality assurance and data validation checks to ensure the accuracy, integrity and consistency of HR data across HR systems.
  • Updates reports and dashboards related to DOS Compact monitoring and other corporate reporting requirements.
  • Assists in the preparation of data visualizations, charts and summaries to present HR trends, performance and compliance to clients and stakeholders.
  • Assists in reviewing and processing requests for classification.
  • Provides advice and answers general queries on classification procedures and processes.
  • Maintains HR related automated systems and applications including automated databases containing HR related statistics and prepares periodic reports.
  • Undertakes research on a range of HR related issues and assists in the preparation of notes/reports.
  • Provides general office support services; processes, drafts, edits, proofreads and finalizes for signature/approval a variety of correspondence and other communications; performs budget preparation, input monitoring and implementation in Umoja, etc.; sets up and maintains files/records (electronic and paper); schedules appointments/meetings, monitors deadlines, etc.
  • Prepares written response to queries concerning HR related matters.
  • Trains and provides supervision to new and lower-level staff in the unit.
  • Performs other duties as required.
Required Experience
  • A minimum of seven (7) years of progressively responsible experience in human resources management, administrative services, or related areas is required. The minimum experience requirement is reduced to five (5) years for candidates who possess a first-level university degree or higher.
  • Experience working with SAP based Enterprise Resource Planning (ERP) systems, such as Umoja or similar, is required.
  • Experience in using recruitment platforms, such as Inspira or similar systems, is required.
  • Experience in data analytics or a related area, including designing and developing dashboards using data visualization tools such as Umoja SAP Analytics Cloud, Power BI, or similar, is required.
  • Experience in an Executive Office or a similar work setting within the United Nations system, providing advice and guidance to clients on the application of policies, regulations, and rules, is desirable.
  • Experience working with database management systems, such as SQL Server or similar, is desirable.
Qualifications

High school diploma or equivalent is required.
