Overview

Provides administrative support for the implementation of an externally funded initiative within the Energy Division. Supports a senior officer or manager responsible for a major programme.

Tasks Summary
  • Performs office management and administrative support functions.
  • Maintains liaison with other units regarding programmes and administrative matters.
  • Monitors processes and schedules related to unit outputs.
  • Ensures smooth information flow within the unit.
  • Prepares and processes confidential information.
  • Assists in developing office administrative systems and procedures.
  • Researches, compiles, and summarizes background materials.
  • Provides assistance in coordinating service-wide activities, special projects, and events.
  • Orients new staff to administrative procedures.
  • Attends meetings, prepares minutes, and monitors follow-up activities.
  • Responds to or drafts responses to correspondence.
  • Manages, updates, and develops internal databases.
  • Updates website.
  • Generates statistical and other reports from databases.
  • Performs quality control for outgoing documents.
  • Responds to complex information requests.
  • Assists in preparing presentation materials.
  • Maintains calendar/schedules and monitors changes.
  • Performs administrative duties such as leave recording, meeting organization, and supply orders.
  • Prepares and processes administrative requests/documents like travel requests and expense claims.
  • Maintains files and databases.
  • Assists with data collection, analysis, and preparation of data presentations and reports.
  • Assists with visualizations and updating information material.
  • Performs other duties as assigned.
Experience Requirements

A minimum of five years of progressively responsible experience in general office support or related area is required. 1 year or more of experience in data analytics or related area is desirable. Experience in the United Nations Common System or in international organizations similar to those in the UN Common System is desirable.

Qualification Requirements

High school diploma or equivalent is required. A first-level university degree may be accepted in lieu of two years of required experience.

Contract Duration: The appointment will be subject to annual renewal based on performance, funding availability, and continuation of function. The candidate selected will be granted a fixed-term appointment limited (“FTA-limited”).
